Job Purpose

  • To create and maintain a high quality service to the expanding German and Austrian territories.
  • To liaise effectively with German speaking customers, commercial sales and technical support in the German language, both written and spoken.
  • To effectively manage customer enquiries in detail. To input and manage German and Austrian orders accurately, quickly and efficiently.

Person Profile

A high calibre bi-lingual individual who has a full understanding of Order Management/fulfilment with a desire to meet the varying needs of the customer. The ideal candidate should have an ability to show flair, understanding and empathy in building strong relationships with all stakeholders internally and externally and to display a professional work ethic at all times.

Work Experience Required:

Previous experience within an order management or processing (customer services) environment from a commercially driven business environment.

Skills:

  • Bi-lingual in English and German – written and spoken.
  • Confident in conversing fluently with German customers both written and spoken at an advanced level.
  • Numeracy skills required as well as excellent interpersonal skills.
  • Microsoft Office suite skills required.
  • Previous experience withorder processing or finance software packages would be desirable.
  • Self motivated and a completer/finisher.
  • Excellent relationship builder.

Education:

  • A-level or equivalent upward.

Role

Reports to: Manager – Order Management Department.

Key responsibilities:

  • Specifically deals with order management from German speaking territories.
  • Deal with day-to-day customer enquiries by telephone, fax, and email in German language.
  • Provide advice to customers on product promotions, discounts and samples within the German and Austrian territories.
  • Receive, enter and process daily sales orders from German and Austrian customers and raise invoices and credit notes.
  • Receive enter and process daily sales orders from other territories as required
  • Maintain customer account and contact data using Sage software.
  • Liaise with Purchasing, Finance & Despatch departments to ensure prompt shipment & tracking of orders.
  • Communicate in the German language both written and spoken to internal and external stakeholders as to the status of orders including back-order lead-times.
  • Check Sales orders against customer Purchase orders. Support Credit control operations within GmbH as required making use of language skills.
  • Be fully aware & comply with company’s ISO9000 procedures.

Working times and requirements:

37.5 hours - 5 days a week

Monday-Friday: 9.00 am – 5.00 pm with ½ hour for lunch
